Housing a Team for a Youth Sports Tournament in Orlando

What a traveling team actually needs from a house, where Orlando's tournaments are played, and how to fit twelve players and their parents under a few roofs.

Orlando hosts youth tournaments, showcases and camps most weekends of the year. Baseball, soccer, basketball, volleyball, cheer, lacrosse and tennis all run events here, and the parents who organize the travel learn the same lesson every time: a block of hotel rooms is expensive, scattered and hard to feed. A few houses near each other solve most of that. Here is how to think it through.

Where the games are played

The big complexes sit south and southeast of the city. Disney's sports complex in Lake Buena Vista hosts a large share of the national youth events. The USTA National Campus at Lake Nona is the tennis center. Beyond the metro, the training center in Clermont draws track, swimming and soccer events. Closer in, Orange County's parks and the downtown venues host regional tournaments, and Camping World Stadium is minutes from our homes.

Our homes are on the west and downtown sides of Orlando, so the honest picture is this: the downtown venues and Camping World Stadium are 2 to 15 minutes away, while the Disney and Lake Nona complexes are 30 to 45 minutes by road. Teams choose our homes for the price, the space and the kitchen, and accept the drive to the big complexes. Every home page lists its drive times.

What a team needs from a house

  • Beds that sleep kids well. The Londonderry House has a bunk room with two sets of bunk beds, plus a king and a queen room, for eight. The Entertainment House has a twin room and sleeps eleven. The Head Avenue House sleeps fifteen across six bedrooms.
  • A kitchen and a big table. Team breakfasts and pasta dinners at the house cost a fraction of a restaurant bill for twelve, and every home has a full kitchen. Entertainment Home, Meet. Play. Stay. and Downtown & Stadium Cozy Retreat seat six or more at the table, with breakfast bars for the overflow.
  • Laundry. Every home has a washer and dryer. Uniforms wash overnight.
  • Parking for the van. Every home has a private driveway; the Piedmont House has a pad big enough for several vehicles.
  • Somewhere to burn energy. A fenced backyard with cornhole at Meet. Play. Stay., foosball and table tennis at Entertainment Home, a pool table at Meet. Play. Stay., and a game room at Piedmont.

Splitting a team across homes

Four of our homes are in Pine Hills, minutes from one another: The Clue House, Entertainment Home, Cozy Home and Downtown & Stadium Cozy Retreat. Three more are in Washington Shores: Piedmont, Game Day Getaway-Downtown Orlando and City and Stadium Sanctuary Vibes. A team of twelve players with parents can take two or three homes in the same neighborhood, keep the players together in one house with the coaches and the families in the others, and still meet for dinner in five minutes. Tell us the head count and we will suggest the pairing.

The rules that keep it simple

The homes are in residential neighborhoods, so we ask for three things: the guest count on the booking is the guest count in the house, the neighbors get a normal evening, and the house is for registered guests only. Coaches' curfews are your business. Damage beyond normal wear is the responsibility of the booking adult, which is standard.

Booking

Weekend stays run through our Airbnb and Vrbo listings or a direct inquiry. Tournament weekends in spring and around the holidays fill early, and the largest homes go first. If a club or an organization wants one agreement for several homes, ask; we can set that up. The sports team page lists the homes with bunk rooms and big tables.

Booking two or three houses as one request

A tournament weekend rarely means one family in one house. It usually means eight, ten or twelve players plus the parents and coaches traveling with them, and that group is easier to manage across two or three houses in the same part of town than as a scattered block of hotel rooms with everyone on a different floor. The simplest way to book it is as one request: tell us your dates, your total headcount, and how many houses you think you need, and we treat it as one conversation instead of three strangers filling out three separate forms on three different nights.

From there it can go two ways. Most teams book each house through that house's own Airbnb or Vrbo listing, which keeps the deposit and the cancellation terms tied to that individual reservation. If your team or club would rather have one written agreement covering every house for that weekend, in one name, say so when you inquire. We can write it that way, and the receipt for each house still comes itemized, so whoever is reimbursing the trip has a clean paper trail for each address.

Either way, get us the exact dates and the number of people staying in each house before you ask about a rate. The rate, the deposit and any pet policy are confirmed in writing once we know those numbers; we do not publish them on the site because they change by home and by season.

The drive to Disney's sports complex and the USTA campus

Disney's sports complex in Lake Buena Vista and the USTA National Campus at Lake Nona host the largest national brackets, and neither one sits close to our homes. By road and without traffic, our thirteen homes run 34 to 47 minutes to Disney's complex and 33 to 43 minutes to the USTA campus. Orlando's rush hours add time to both drives, more on I-4 through the tourist corridor than on the beltway around Lake Nona.

The number changes house by house. Fruit Tree Home runs about 34 minutes to Disney's complex and Piedmont about 36; Amelia’s Arena Retreat and Game Day Getaway-Downtown Orlando are close behind at 37; WinterPark Home, farther north in Lockhart, runs 47. None of that changes which house fits your roster for sleeping arrangements or a kitchen, but it is worth knowing if your bracket has an early pool-play game and you want the shorter end of that range.

Tolls on the road to the fields

A tournament weekend means more driving than a typical stay, not less: pool play in the morning, a break back at the house, then bracket games in the afternoon, sometimes at a second field across town. SR-408 and I-4 carry most of that traffic from our homes, and both are tolled by transponder or by license plate.

A SunPass or E-PASS transponder is worth carrying if your team is making that round trip more than once a day for three or four days running. Every home already comes with its own private driveway, carport or parking pad, so the transponder is the one added cost of driving in and out of the tournament complex on repeat.

Homes near the downtown venues

Not every regional bracket plays at Disney or Lake Nona. Camping World Stadium, the Kia Center and Inter.co Stadium in the downtown arena district host their share of tournaments and showcases too, and two of our homes on the downtown edge sit right against that cluster.

Amelia’s Arena Retreat in Parramore runs 6 to 8 minutes to the Kia Center and Inter.co Stadium and 4 minutes to Camping World Stadium. It sleeps eight across four bedrooms, with a private fenced yard where a team can unwind after a game. Fruit Tree Home in Holden Heights runs 6 minutes to Camping World Stadium, the Kia Center and Inter.co Stadium, sleeps ten across three bedrooms, and has a full-size washer and dryer on site for a weekend of uniforms.

After the game, a sit-down dinner is close by too: the Mills 50 district's Vietnamese kitchens and College Park's Edgewater Drive restaurants are a few minutes from either house. Both houses sit on the downtown edge, a different part of town from Pine Hills or Washington Shores, so weigh which venue your bracket will actually use more before you choose a cluster.

Cooking for a traveling team

Three days of concession-stand food and drive-through wears on a dozen hungry players fast, and a house with a full kitchen changes the math on a tournament weekend. Every home comes with a stove, an oven, a full-size refrigerator, cookware and dishes, and the beds are already made up with linens before you arrive, so a team breakfast of eggs and toast for everyone costs a fraction of what the same crowd would spend at a diner near the fields.

Where you land in the portfolio decides where you shop for it. From the Pine Hills and Washington Shores homes, the Walmart Supercenter on West Princeton Street is the closest big box, and Presidente Supermarket on North Pine Hills Road is worth the stop if anyone on the team wants a hot plate from the cafeteria counter without cooking that night. From the downtown-edge homes, the compact Publix at The Paramount on Lake Eola is the nearest grocery store, a few minutes from both Amelia’s Arena Retreat and Fruit Tree Home.

Stock the fridge on the way in from the airport or the highway, before anyone changes into a uniform, and the kitchen is doing its job by the first morning instead of the third.

Something for the siblings between games

Not everyone on a team trip is playing. Younger siblings, non-roster parents and grandparents need somewhere to spend the hours between a morning game and an evening one, and a couple of our clusters sit close to a real park rather than a backyard alone.

Barnett Park, a 159-acre Orange County park on West Colonial Drive, is the option from the Pine Hills homes: a splash pad that runs in timed sessions through the warm months, playgrounds, walking trails, disc golf, and basketball and volleyball courts, all free to use. From the Washington Shores homes, Lake Lorna Doone Park is a twelve-acre city park just north of Camping World Stadium with a walking loop, outdoor fitness stations, a splash pad and an inclusive playground; from City and Stadium Sanctuary Vibes, which itself runs 2 minutes to the stadium, the park is essentially on the way.

Neither park charges admission, which is worth knowing on a weekend where the tournament's own entry fees are already adding up.

Check-in day when your team fills more than one house

A block of hotel rooms checks in at one front desk. A block of our houses checks in house by house, which sounds like more coordinating but usually is not. Arrival notes with the door code or the lockbox location go out a few days before check-in, one set per house, so each group lets itself in on its own schedule, without waiting on a single desk clerk. If the team van pulls in at two in the afternoon and the grandparents following behind arrive at six, that is fine, as long as everyone staying is on the guest list for that house.

Naming one adult as the point of contact for each house, plus one overall contact for the whole group, saves a round of texts later. That is the person we call if a question comes up about a house, and the name on the agreement if anything beyond normal wear needs sorting out afterward.

These are residential streets. There is no night desk absorbing the noise for you, so keep the postgame celebration at an indoor volume once it gets late, and keep the team van and the extra cars parked in the driveway or the pad, off the curb.

Neither review says which sport, and we do not ask; the point both of them make is the one that matters to a coach booking from out of town: a fast answer when something needs fixing, and a house that flexes for a bigger group than the listing photos might suggest.

Booking a full season under one agreement

Some travel teams book Orlando more than once a season: a spring circuit that runs from January through a state championship in April, or a club schedule that puts the same roster back in town three or four times a year. For a season like that, it is worth asking about a written agreement naming your club or organization, so the record and the itemized receipts stay with the organization's paperwork across every weekend of the season.

That agreement still works like any other stay: the rate, the dates and the deposit are confirmed in writing before you commit, and payment is due at booking. We do not extend net-30 invoicing to team, reunion or family travel the way we do for an employer or a staffing agency covering a work assignment; a youth sports weekend is paid for like any other reservation, with the paperwork made out to the club if that is easier for your books.

What we can do across a season is remember which houses your team has used before and flag whether the same ones are open for your next set of dates, so a returning club is not starting from zero each time it calls. That continuity is worth more over a season than it is for one weekend: the same three or four houses, once your parents and coaches know their way around them, mean fewer questions to answer before the next trip.

Before you send us your dates

The teams that get a fast answer from us usually have five things ready before they inquire.

  • The exact weekend or the full circuit. One tournament or several across a season changes whether a single reservation or a written agreement makes more sense.
  • Headcount per house, not just for the team. Players, coaches and the parents staying with them, split out however you plan to divide the group.
  • Which venue matters most. Disney's sports complex, the USTA campus at Lake Nona, or a downtown venue like Camping World Stadium changes which cluster of homes makes sense.
  • A single point of contact. One name for us to reach with arrival notes and questions, even if the group ends up spread across two or three houses.
  • Whether anyone is bringing a pet. Several of our homes accept pets, and the policy and any deposit are confirmed in writing before you commit.
