Booking Temporary Housing for an Employee: A Coordinator's Checklist

What an HR, relocation or project coordinator should settle before booking a furnished house for a colleague, and what to expect from us on each point.

If you coordinate relocations or project travel, you have booked temporary housing that looked fine in photos and generated a month of complaints. The fix is a short list of questions asked before the booking. Here is the list we work from with the companies that place people in our homes, with what you can expect from us on each point.

1. Who is the party on the agreement?

Decide whether the company or the employee signs. We can write the monthly agreement in the company's name, with the employee named as the occupant, or in the employee's name with the company paying. Either way the agreement states the address, the dates, the monthly rate, the guest count and the extension terms. Some companies ask for a W-9 before paying a vendor; ask early and we will send it.

2. How is billing handled?

One monthly rate for the whole house, invoiced per month with itemized receipts for expense processing. No nightly math, no resort fees. If the employee is on a per-diem, we can structure receipts to match the reporting period. If a relocation-management company is in the middle, tell us their requirements before the first invoice.

3. What happens when the project runs long?

Extensions by the month, on the same terms, subject to availability. Tell us as early as you can when a project is slipping; most of the time we can hold the house. If the stay ends early, tell us as soon as you know, and we will state the notice terms in the agreement so nobody is surprised.

4. What exactly is in the house?

Every home is furnished with beds, linens, a full kitchen with cookware, a washer and dryer, and Wi-Fi. Each home page lists what is inside and, under "worth knowing," the plain facts a hotel listing would leave out, including the size of the rooms and the state of the yard. We confirm the inventory in writing before the booking so the employee arrives knowing what to expect.

5. Is the internet good enough for the job?

Wi-Fi is included, and plans vary by home. If the employee works from the house, tell us whether that means email or all-day video calls, and we will confirm the setup at the specific house. Two homes have dedicated desks and office chairs: the Meet & Play House and the Head Avenue House.

6. Where will the car go?

Every home has a private driveway, carport or parking pad. A work truck with a trailer fits at the Piedmont House. No permits, no garage fees.

7. How far is the office, honestly?

This is the question that generates the most complaints when it is skipped. Our corporate housing pages list the region's largest employers with the drive time from every one of our homes, computed by road. A house that is 9 minutes from AdventHealth Orlando is 47 from Magic Kingdom; pick the house for the commute the employee will actually make.

8. Pets, guests and household

Tell us who is coming: a spouse, children, a dog. Several homes allow pets with a deposit that we state in writing. The guest count on the agreement is the guest count in the house.

9. Keys, arrival and the first night

Homes use keyless entry or a lockbox; the employee gets the code and arrival notes before the day. Arrivals at 11 pm after a delayed flight are normal and fine. Our phone number goes on the agreement and a person answers it.

10. Who to call when something breaks

Us. Libema is a small local owner-operator, not a booking platform, so a maintenance call goes to the people who own the house. Put our number in the employee's phone on day one.

Sizing the house to the number of people traveling

A coordinator's first instinct is often to book the smallest available home for one employee and the biggest for a team, and that instinct is usually right, but it helps to check bedrooms against headcount rather than going by price or photos alone. Our thirteen homes range from a two-bedroom that suits one or two people up to a six-bedroom built for a crew. The guest count on the agreement has to match the guest count in the house, so working out the real number of people traveling, not just the number on the org chart, saves a call back later to add a name.

The Wekiwa House, on Orlando's west side, is the smallest home in the portfolio: two bedrooms and two bathrooms, one king and one room with two full beds, built for one employee or a couple rather than a group. Step up to the Katherine House in Lockhart, three bedrooms and one bathroom with a screened porch, or the Dollins House in Washington Shores, four bedrooms and two bathrooms on a shaded lot of mature oaks, and there is room for two or three colleagues on the same project to each keep a room. At the top end, the Head Avenue House in Pine Hills has six bedrooms and three bathrooms, an in-home workspace and full-size laundry, built for a full crew rather than a single traveler.

Bedroom count and sleeping capacity are not always the same ratio. Game Day Getaway-Downtown Orlando has four bedrooms but a bed count of nine, since several rooms hold more than one bed, useful if two junior employees are fine sharing a room. Piedmont sleeps fourteen across four bedrooms for the same reason.

None of these numbers are guesses. Each home's own page lists its bedroom count, bathroom count and sleeping capacity, and we confirm the exact figure in writing before you sign. If a project's headcount changes after the agreement is signed, tell us early. Availability, not paperwork, is usually the limiting factor, since a home already committed to another guest cannot always absorb an extra employee mid-month.

The drive from every home to the region's employer clusters

Point 7 above covers the basic warning: a house near one employer can be a long way from another. What that does not show is how differently the clusters sit around the metro. Downtown Orlando holds the courts, the hospital systems and much of the financial and professional-services work; Lockheed Martin's aerospace and defense campus sits off Sand Lake Road; Central Florida Research Park, where Team Orlando's military simulation and training companies cluster, is its own campus separate from the others; and the KPMG Lakehouse anchors a newer corporate campus in Lake Nona. A house that is convenient for one is not automatically convenient for the others.

By road and without traffic, the thirteen homes run 6 to 17 minutes from the downtown core, 11 to 24 minutes from the Lockheed Martin campus, 26 to 36 minutes from Central Florida Research Park, and 30 to 40 minutes from the KPMG Lakehouse in Lake Nona. Amelia’s Arena Retreat, on the downtown edge in Parramore, is 7 minutes from the core and 13 from Lockheed Martin. Wekiwa Home, on the far west side, is 17 minutes from downtown and 23 from Lockheed Martin. Orlando's rush hours add to all of these, especially on I-4 and SR-408.

Creative Village, the office, tech and university hub that includes UCF's downtown campus and the EA Orlando game studio, sits inside that same downtown range, a short run from the homes in Parramore and Holden Heights.

Airport pickups are their own small piece of planning. Orlando International Airport sits 26 to 39 minutes from the thirteen homes by road, without traffic. Amelia’s Arena Retreat, at 30 minutes, and Game Day Getaway-Downtown Orlando, at 29, sit toward the shorter end; WinterPark Home and Wekiwa Home run longer, 38 and 39 minutes, worth knowing if an employee is landing late and arranging their own ride.

The kitchen, the laundry and the rest of the inventory

Point 4 above states the basics: beds, linens, a stocked kitchen, a washer and dryer, and Wi-Fi in every home. What it does not spell out is that the laundry setup is not identical across the portfolio. Every home has a washer and dryer, but only four are flagged in our records as full-size units rather than compact or stacked machines: The Clue House, Fruit Tree Home, Cozy Home and Wekiwa Home. For an employee doing their own laundry every week rather than sending it out, that distinction is worth asking about before you book, especially for a longer assignment.

Exact inclusions vary a little by home and are confirmed in writing when you book.

The kitchen is where most of the complaints about extended-stay hotels start, and it is also where a furnished house earns its keep. Every home comes with a full kitchen, cookware and dishes, not a kitchenette with two burners. Amelia’s Arena Retreat has a freshly renovated white-cabinet kitchen with stainless appliances; Game Day Getaway-Downtown Orlando and Piedmont both have granite-look counters and a full range and dishwasher; WinterPark Home's kitchen comes stocked with cookware, dishes and a coffee maker. We confirm the exact inventory in writing before the booking, which is the detail that saves an employee a shopping trip on their first night.

A few of the kitchens are compact rather than spacious, and we say so plainly. Amelia’s Arena Retreat's is a galley-style kitchen, workable for one or two people cooking but tight for a full house cooking together at once. Each home's own page states this under 'worth knowing before you book' rather than leaving it to the photos.

Setting up a home office before the employee arrives

If an employee is doing any work from the house rather than commuting to an office every day, the setup is worth confirming before arrival rather than after. Two homes carry a dedicated desk: The Clue House has a desk built into a bedroom for working from home, and Meet. Play. Stay. goes further with desks and office chairs in two of its three bedrooms, alongside a laundry room with a washer and dryer and an attached garage. The Clue House is also one of the four homes with full-size laundry, which matters if the stay runs long enough to need it weekly rather than send it out.

Wi-Fi is included at every home, but plans vary by house, so tell us whether the employee's work means checking email in the evening or running video calls through the day. We confirm the setup at the specific address before you commit rather than after a bad first call. For a team splitting a six-bedroom house like The Clue House, that conversation matters more, since several people working from the same connection at once is a different load than one person answering messages after hours.

Housing more than one employee at once

When a project brings three or four colleagues to Orlando at the same time, the choice is usually between one large house and two or three smaller ones in the same part of town. Both are real options in our portfolio. Pine Hills alone holds four of our thirteen homes: The Clue House, Entertainment Home, Downtown & Stadium Cozy Retreat and Cozy Home. Washington Shores holds three: Piedmont, Game Day Getaway-Downtown Orlando and City and Stadium Sanctuary Vibes, on the west side near Camping World Stadium.

Splitting a team this way has a practical upside: if one employee's plans change mid-project, you are not renegotiating a single large agreement for everyone else. Each home carries its own written agreement, dates and rate, so one person's assignment can end on schedule while a colleague's runs long, without disturbing the other bookings. Each home's private driveway, carport or parking pad is sized for that one house, not for two households' worth of cars, so splitting a team across two homes can solve a parking problem before it starts. Tell us up front if you are placing more than one employee in the same stretch of time, and we will point you to a cluster that keeps everyone in the same neighborhood as the office they are commuting to.

Getting the employee settled in the first week

A coordinator's job usually ends once the employee has keys, but a house that works well for a month depends on a few things in the first days that a hotel never requires: where to buy groceries, where the nearest pharmacy is, and whether a car is necessary at all.

  • Downtown edge (Parramore, Holden Heights): the compact Publix at The Paramount on Lake Eola is a walkable grocery stop, and two SunRail stations plus the free LYMMO bus mean a car can sit parked more often than anywhere else in the portfolio.
  • Pine Hills, Rosemont and Lockhart: the Walmart Supercenter on West Princeton Street and the Caribbean and Latin grocers along West Colonial Drive cover the everyday shopping, and pharmacies sit along the same corridor at CVS and Walgreens.
  • The Malibu Groves and Hiawassee homes on the west side: the Publix at Metro West Village on South Hiawassee Road is the closest full supermarket, and Lake Lorna Doone Park, just north of Camping World Stadium, is close enough to City and Stadium Sanctuary Vibes, two minutes from the stadium, to work as an after-work walk.

Outside the downtown cluster, plan on a car: SR-408 and I-4 are tolled, so a SunPass or E-PASS transponder is worth having for an assignment that runs more than a few weeks.

Extending or ending a stay mid-project

Point 3 above sets the rule: extensions run by the month, on the same terms, subject to availability. The part worth planning around is the subject-to-availability piece. If a company books WinterPark Home for a single employee and the project slips from two months to four, we can usually hold the same house, but only if we know before the following month is already promised to someone else. The earlier you flag a likely extension, even as a rough guess rather than a confirmed date, the better the odds the employee does not have to pack up and move mid-project to a different address.

The reverse happens too. If a project wraps early, we would rather rebook the house for the next guest than hold a coordinator to the full term on principle. The notice terms are written into the agreement you sign before the first payment, so there is a specific number of days to work from rather than a guess, and it is the same conversation whether the company is the party on the agreement or the employee is.

And Cristina, who spent thirty days at Meet. Play. Stay. in July 2026, wrote: 'Absolute great stay. The place was clean. I had everything I needed to make it a long-term stay. I was in this Airbnb for 30 days.' That is the length of stay a coordinator is usually planning around.
